Adding your first employee.

Your team is the unit that DEF works with all day. Before anything can be delegated, DEF needs to know who's on your team and how to reach them. That happens in the CRM tab.

Where to go

Click the CRM tab in your dashboard. You'll see a list of every contact your operation has touched: guests, employees, vendors. At the top right is an + Add contact button. Click it.

The five fields that matter

A drawer opens with a form. Five fields do the work:

  • Name — full name. This is what your agent will use when talking about them.
  • Phone — WhatsApp number with country code (e.g. +50244112233). This is how DEF reaches them.
  • Role — set this to employee. Other roles are guest, vendor, and board.
  • Department — pick from your list (front desk, kitchen, housekeeping, etc.). If you haven't set up departments yet, skip this and come back in the next lesson.
  • Photo — tap the avatar and upload one. Optional but helpful when scrolling lists later.

Save. You'll see the new row at the top of the list with a green dot next to it.

What just happened

DEF now knows this person exists, what department they belong to, and how to reach them. From this moment, the agent can delegate any task in their department to them. The first time you delegate, DEF will WhatsApp them a quick "hi, I'm your operations agent" message so the introduction lands naturally.

Things to know

You can edit anything later. Tap the row to open the profile drawer and update any field.

Phone numbers must be unique. The same WhatsApp number can't belong to two different employees in your operation.

The agent does NOT message them until you delegate something. Adding the employee doesn't trigger anything. The first ping happens when the first task gets routed to them.

Try it now

Add one employee. Use your own phone number if you don't want to involve a real teammate yet. You can delete the contact afterwards.
